LegalAid NSW’s previous health and safety platform was dated, unintuitive, and highly manual, reporting incidents that required extensive training, hindering user adoption.

THE CHALLENGE

As the agency transitioned to MyWorkZone, they needed a new system that could:

Although DCJ facilitated the initial engagement, LegalAid NSW required complete data segregation for privacy reasons, particularly given the sensitive nature of workplace health and safety data. The challenge lay in achieving full isolation without compromising on process consistency or deployment efficiency.

Seamlessly integrate with the HR platform
Standardise processes across departments
Support a user-friendly and proactive safety culture

PROJECT HIGHLIGHTS

This project highlights how aligned processes and empowered teams can lead to safer, more proactive organizations.

Trusted Adviser Role

LegalAid NSW’s leadership empowered their teams and placed their trust in SafetySuite’s guidance and the preconfigured model.

Process Alignment with Flexibility

While maintaining consistency with DCJ’s implementation, LegalAid NSWgained the flexibility of standalone system control.

Benchmark for Sector Growth

LegalAid NSW’s adoption of PSI and hazard modules has established a benchmark for other agencies considering more proactive safety strategies.

SafetySuite adopted a two-phased approach

THE SOLUTION

Inherited Configuration

Complete data isolation
Ongoing process consistency
Future flexibility to merge back into a shared system if needed

LegalAid was formally onboarded as a direct SafetySuite client, giving them full autonomy over their configuration while preserving the benefits of a pre-established framework.

System Segregation

Expanded Safety Capabilities

Unlike DCJ, LegalAid NSW opted to expand its safety capabilities by implementing two additional modules:

Risk & Hazard Management
Proactive Safety Initiatives (PSI)

This decision reflected a forward-thinking, proactive approach to workplace safety. These modules allowed LegalAid to manage workplace risks more comprehensively and implement initiatives such as ergonomic assessments, home visit risk reviews, and safe driving checks.

Crucially, the starting point for these modules was SafetySuite’s preconfigured template. By building on a proven foundation, LegalAid was able to deploy advanced features quickly while maintaining alignment with whole-of-government best practice.

Key Outcomes Include:

Rapid, Low-Risk Deployment
Leveraging SafetySuite’s “Gold Client” template accelerated implementation, ensuring high user confidence from the outset.

Exceptional Change Management
LegalAid NSW’s strong leadership and culture of trust supported an outstanding rollout. Frequent demos and stakeholder updates created widespread buy-in and enthusiasm among users.

Seamless Go-Live
The system went live in August 2025 with no reported issues, a testament to effective planning, testing, and user engagement.

Strategic Collaboration

Post-launch, SafetySuite partnered closely with LegalAid NSW to identify new digital opportunities, including:
a unified approach to reporting and compliance.

Replacing spreadsheets with systemised processes

Customising dashboards for trend analysis

Exploring AI-enabled automation for injury management correspondence

LegalAid began with DCJ’s existing configuration, allowing them to leverage a proven template and dramatically reduce project complexity. This approach supported rapid onboarding, reduced the need for deep customisation, and accelerated go-live.

To address privacy concerns, SafetySuite deployed a dedicated instance for LegalAid. While maintaining ~98% alignment with DCJ’s configuration, this ensured:

SafetySuite and LegalAid NSW continue to evolve the platform together.

LOOKING AHEAD

As part of our roadmap:

Enhanced analytics and data visualisation tools are in development

Additional manual processes are being transitioned into the system

Discussions around the future of AI-driven injury management are underway

LegalAid NSW’s success exemplifies how government agencies can modernise and enhance safety practices quickly and effectively, especially when supported by a trusted solution and a culture ready to embrace change.

CLIENT

LegalAid NSW

In early 2025, LegalAid NSW embarked on a digital transformation journey to modernise its workplace health, safety, and injury management systems. With SafetySuite already embedded within this ecosystem through our successful work with the Department of Communities and Justice (DCJ), LegalAid NSW saw a strategic opportunity to implement a trusted, integrated solution tailored to government needs.

Project Duration

February - August 2025

LegalAid NSW implemented a comprehensive SafetySuite package, including:

Incident and Event Management
Injury Case Management

Workers’ Compensation
